Ghosts, dormant seats and unused licenses, explained
Ghost seats
Someone your directory says is offboarded still holds an active seat in a tool. This is the flagship finding — it's pure waste with a name attached, and it's usually also a security hole. High severity, priced at what the seat costs per year.
Dormant seats
A current employee's seat with no activity for 90+ days. Not always waste — but at $90/month for a sales seat, "we might need it someday" gets expensive. Never-used seats only count once they're old enough that "new hire, hasn't logged in yet" stops being the explanation.
Unused licenses
Licenses bought but never assigned to anyone — the gap between what the invoice says and what the admin console shows.
Where the euro amounts come from
Wherever a tool's API tells us the real plan, we use it: your actual Google Workspace SKUs, Slack plan, Atlassian tier per site, Zoom Licensed vs Basic, Copilot Business vs Enterprise. Where it doesn't, we price at the published list rate and say so — the report footer marks everything as annualized estimates until invoice data sharpens them. Free plans honestly count as $0: a free seat is not a leak.
When we say "unknown"
Some tools expose no per-user activity (Claude Team, for instance). Those seats are marked activity unknown and can be ghosts, but never dormant. "We can't see" is not the same as "inactive", and we refuse to blur that line.
